Why should I submit a report?

All employees must be aware of their individual responsibility for conducting business with integrity. It is important to us at OHB that we deal openly with weaknesses and mistakes. Only this way can we identify such issues early and manage their consequences. By addressing them effectively, we can reliably avoid similar mistakes or weaknesses in the future. Accordingly, we do not look away from problems, we strive to discuss them openly and find solutions. Your report helps us to identify and uncover malpractice early and to avoid the potential harm to our reputation and assets.

What kinds of reports can I submit to the Integrity Channel?

You may report potential violations of OHB’s principles of good corporate governance and business conduct, corporate policies or applicable laws.

Are there special aspects for OHB employees to consider?

As an employee of the OHB group, your first point of contact regarding any concerns should always be your manager. However, we are aware that there may be situations where direct and open dialogue seems out of place or you generally want to remain anonymous: For such cases, the portal We.Create.Integrity. offers you additional options for sharing reports, either by name or anonymously.

OHB does not tolerate any discrimination against employees who, in good faith, report any violations of applicable law or OHB’s principles of good corporate governance and business conduct or participate in relevant internal investigations.
“In good faith” means that the person submitting the report believes that their statement is true or at least probable, regardless of whether a subsequent investigation might confirm or refute this statement. The portal We.Create.Integrity. must not be used to knowingly submit false or slanderous reports or information.

What is the process for submitting a report? How do I set up a postbox?

To submit an anonymous or personalised report, start by clicking the “Submit report” button at the top of our introduction page.

There are 4 steps to the report process:

1. First, you will be asked to read some information on the protection of your anonymity and answer a security query.
2. On the following page, you will be asked about the category of your report.
3. On the report page, you can elaborate on your report in your own words and answer questions about the case by simply selecting responses. You can type up to 5000 characters into the free text field, which corresponds to a full A4 page. You may also submit a file of up to 5 MB to support your report. Please bear in mind that documents can contain information about the author. Following the submission of your report, you will receive a reference number to confirm that you have sent this report.
4. Please subsequently set up your own secured postbox. You will receive feedback from us via this postbox, including answers to questions and information about the progress of your report.

If you already have a secured postbox, you can access it directly via the ‘Login’ button. You will also have to answer a security query first.

As long as you do not enter any data from which conclusions about your identity can be drawn, the technology of BKMS^® System will protect your anonymity.

We assure that we are only interested in the case you are reporting. Malpractices must be revealed and financial losses prevented.

How do I receive feedback and remain anonymous at the same time?

The BKMS^® System process used here places the utmost importance on protecting the whistleblower. The system’s anonymity protection function is certified by an independent body.

When you set up your secured postbox, choose your pseudonym/user name and password yourself. These credentials are not visible to anyone except you. If you lose your login information, please submit a new report and set up a new postbox. If possible, please provide the reference number of your previous report. The new postbox will not contain any content associated with your previous report.

Your report is kept anonymous by means of encryption and other special security routines. You will never be asked for personal information if you submit a report anonymously. Do not submit any information that can be traced back to you. Please do not use any device, such as a PC or smartphone, that has been provided by your employer to submit your report.

Via the secured postbox, the examiner will give you feedback about the further processing of your report or ask you questions if some details are still unclear – you remain anonymous throughout the dialogue. We are interested in reports in order to discover, eliminate and avoid malpractice as well as to prevent harm to the company. The personal data of the whistleblower are not important for this.

Who will receive and process my report?

The competent compliance officer of the respective subsidiary will evaluate your report with regard to topic and relevance unless you selected processing by the central department of OHB SE in Bremen when submitting the report. If you have set up a secured electronic postbox, the examiner can give you feedback and ask further questions. If the subject matter of your report is outside the remit of the selected subsidiary or if a conflict of interests exists, the examiner will forward your report to the central Compliance department of OHB SE in Germany. Depending on the topic of your report, other departments may be consulted (e.g. Data Protection Officer, Environmental Management, Human Resources Customs & Exports). Only compliance officers of the OHB Group will be in contact with you via the portal We.Create.Integrity. The report is forwarded without revealing information about your identity, unless you expressly agree to it and it facilitates the communication with the processing area.

Who or what is behind We.Create.Integrity.?

We.Create.Integrity. is based on the internet-based whistleblowing system from EQS Group AG (BKMS^® System). A description of how BKMS^® System works can be found at: https://www.eqs.bkms-system.com/de/. On the We.Create.Integrity. platform, you can set up a secured electronic postbox in just a few steps. This will allow you to communicate securely and anonymously with the competent Compliance Office of the respective OHB company. Rest assured that reports submitted via the portal We.Create.Integrity. cannot be traced in any way.
